Our policy 

81 Transportation Non-Emergency Medical Transportation Policy and Procedure

1. Introduction

81 Transportation is committed to providing reliable, safe, and timely non-emergency medical transportation (NEMT) services to residents of Virginia. Our services cater to individuals who require transportation to and from medical appointments, treatments, and other healthcare-related destinations.

2. Services Provided


Ambulatory Transportation: For individuals who can walk or require minimal assistance.

3. Booking and Scheduling


Advance Booking: Transportation requests should be made at least 24 hours in advance. Emergency Booking: Same-day requests will be accommodated based on availability. Cancellations: Clients must cancel at least 12 hours before the scheduled pick-up time to avoid a cancellation fee.

4. Client Eligibility
  • Clients must have Medicaid and schedule transportation through a Managed Care Organization (MCO) that we partner with.

  • Clients must provide proof of medical appointments or treatments.

  • Clients must provide accurate contact and pick-up/drop-off information.

  • Clients must disclose any special needs or assistance requirements at the time of booking​

5. Safety and Compliance Driver Requirements:
    • All drivers are required to hold a valid Virginia driver's license and complete background checks.

    • Drivers must adhere to all traffic laws and regulations.

    • No use of cell phones while operating the vehicle. Vehicle Requirements:

• Vehicles must pass regular safety inspections and comply with Virginia Department of Transportation regulations.

Substance Abuse and Testing:

  • All employees must pass pre-employment drug tests.

  • Random drug and alcohol testing will be conducted regularly.

  • Any employee found under the influence of drugs or alcohol while on duty will face immediate

    termination.

    Safety Trainings:

• All employees must complete initial and ongoing safety training, including CPR and first aid.

• Regular training sessions will cover defensive driving, patient handling, and emergency procedures.

6. Privacy and Confidentiality
  • All client information is confidential and will be handled in compliance with HIPAA regulations.

  • Client records will be securely stored and only accessible to authorized personnel.

​7. Payment and Billing


Medicaid Coverage: Clients must have Medicaid coverage and schedule transportation through the

Managed Care Organization (MCO) we work with.

Billing: The MCO will handle billing directly. Clients are not responsible for any payments unless otherwise specified by the MCO.

8. Client Responsibilities
  • Be ready at the scheduled pick-up time.

  • Notify the office of any changes to the schedule or special needs in advance.

  • Provide necessary medical documentation if required.

 
9. Company Responsibilities
    • Ensure timely and reliable transportation.

    • Maintain clean and well-maintained vehicles.

    • Provide courteous and professional service.

    • Ensure the safety and comfort of all clients 

    • 10. Emergency Procedures

    • In case of a medical emergency, drivers are instructed to call 911 immediately.

    • Drivers are trained in basic first aid and CPR.

 
11. Grievances and Complaints

12. Amendments

• This policy and procedure document may be amended as necessary. Clients will be notified of any changes.
